1. Basic Policy

Vietnam Bussan Co., Ltd. ("we" or "us") handles the personal information we obtain in providing the HD TELECOM services appropriately, in accordance with the Act on the Protection of Personal Information (個人情報の保護に関する法律) and other relevant laws and guidelines.

2. Information We Collect

We may collect your name, date of birth, address, phone number, email address, identity documents and images of them, images showing both you and your identity document, contract and application information, information needed for payment, the plan you use, contract management information needed in connection with your use of the telecommunications service, device information, enquiry history, access logs, cookies and other information needed to provide the service. When you apply on our website, we record the version of the terms you agreed to, your IP address, browser type and the date and time of your agreement as a record of your consent.

3. Purposes of Use

We use the information we collect for: (1) handling applications and managing contracts, (2) identity verification and fraud prevention, (3) shipping and providing SIMs/eSIMs and devices, (4) billing and payment, (5) customer support, (6) dealing with faults and improving service quality, (7) keeping our services secure, (8) meeting legal obligations, (9) sending important notices, and (10) telling you about products and services, with your consent or to the extent permitted by law.

4. Identity Verification Information

We handle identity documents and similar information for identity verification, preventing fraudulent contracts and fraudulent use, meeting legal requirements and other purposes we make clear. We do not use them beyond what is necessary, and once the retention period ends or we no longer need to keep them, we delete or dispose of them appropriately in accordance with the law and our internal standards.

5. Provision to Third Parties

We do not provide personal data to third parties except with your consent, where required by law, where necessary to protect a person's life, body or property, or in other cases permitted by law. When we entrust the handling of data to contractors needed to provide the service, such as carriers, payment providers and delivery companies, we supervise them as necessary and appropriate.

We provide your name, address and phone number to the delivery company so that it can deliver your order. If we introduce payment by credit card or similar, we will provide the payment processor with the information needed for payment.

6. Third Parties and Contractors Outside Japan

Where we use cloud services or other providers located outside Japan and this counts, under the law, as providing information to a third party in a foreign country, we will give the necessary information, obtain consent and take other measures as required by the applicable law.

We entrust part of our operations to Vercel (running the website and storing files), Neon (database), Resend (sending email), Google, Meta, Apple and others. These companies are based in the United States, so your information may be handled and stored outside Japan (our database server is located in Singapore).

7. Security Measures

We take security measures suited to the nature of the personal information we handle and the risks involved, including access control, authentication, log management, protection of communications, staff training and supervision of contractors.

8. Cookies and Similar Technologies

Our Website may use cookies and other technologies to make the site easier to use, and for analytics, security, service improvement and similar purposes. Where we use external services, we show the necessary information on the Website.

9. Requests for Disclosure and Other Actions

If you wish to ask us to notify you of the purposes of use of the personal data we hold about you, or to disclose, correct, add to, delete, stop using or erase it, or stop providing it to third parties, we will respond in accordance with the law after verifying your identity.

We confirm that you are the person concerned by, for example, asking you to contact us from your registered email address or to give us your order number, and we will reply, in principle, within 2 weeks of receiving your request. There is no fee for disclosure or other such requests.

10. Retention Period

We keep personal information for as long as needed to achieve the purposes of use, as long as needed to manage the contract, or as long as the law requires. Where a specific retention period needs to be set for certain information, we follow our internal rules.

We keep order information, images of identity documents and other personal information for 3 years from the contract end date (for applications that did not lead to a contract, from the application date) and delete it after that period. However, information that the law requires us to keep is kept for the period required.

11. Minors

People under 18 cannot apply.

12. Revisions

We may revise this Policy when laws change, when our services change, or as otherwise needed. We will announce important changes on our Website or by another appropriate method.

Appendix: Contractors, External Services, Information Stored in Your Browser and How to Request Deletion

This Appendix explains in concrete terms how we handle, on our Website, the matters in sections 6 (Third Parties and Contractors Outside Japan), 8 (Cookies and Similar Technologies) and 9 (Requests for Disclosure and Other Actions) of this Policy.

1. Contractors and the Countries Where Information Is Handled

To run our website, we entrust part of our operations to the following companies. We have contracts with these contractors and supervise them as necessary and appropriate.

  • Vercel (USA): running the website and storing files
  • Neon (USA): database (the database server is located in Singapore)
  • Resend (USA): sending email
  • Google (USA): signing in with a Google account, the map on our Company Profile page, and our business mailbox
  • Meta (USA): the embedded Facebook page on our home page
  • Apple (USA): when you use the one-tap eSIM setup link
  • Postal code lookup service (Japan): filling in your address automatically (the postal code you enter is sent to it)

For the US companies above, your information may be handled and stored outside Japan. Apart from the database, the country where the servers are located depends on how each company sets up its service, and we may not be able to identify it precisely. We choose companies that publish privacy policies and keep what we entrust to them to the minimum necessary. If you do not agree to this handling, please contact us at the contact point in section 13 before placing an order.

Each time an order or enquiry is made, an internal notification email is sent to our business mailbox, so a copy of your information is also stored in that mailbox. We do not store credit card numbers.

2. Analytics, Advertising Measurement and Embedded Content

On this site, we use measurement tools from our infrastructure provider (Vercel) on every page to understand the number of visits and how fast pages load.

Our home page has an embedded Facebook page, and our Company Profile page has an embedded Google map. These embedded frames load automatically, without asking you first, as soon as you scroll to that part of the page. When they load, your browser connects directly to Meta and Google, so your IP address, the type of browser you use and the address of the page you are viewing are sent to both companies.

When we run advertising, we may turn on analytics and advertising measurement tools provided by Google and Meta (Facebook) across the whole site. These tools send your IP address, browser type, the address of the page you are viewing, and actions such as adding items to your cart or completing an order to those companies, and they recognize the same browser using cookies and similar technologies. While these measurement tools are on, the personal URLs we email you (such as your eSIM setup page) are also measured, and those URLs are sent to the providers of the measurement tools.

At present, this site has no screen asking for your consent to cookies and no individual opt-out buttons. If you do not want your visits to be measured, please use your browser's cookie settings or tracking prevention features, or adjust the ad settings of your Google or Facebook account. This measurement data is handled outside Japan by the companies above.

3. Information Stored in Your Browser

Your choice of language and currency, and the items in your cart, are stored in your browser so that they can be restored on your next visit.

What you enter in the order form (your name, email address, phone number, address and so on) is also stored in your browser as a draft, so that you do not have to type it again if you leave the form partway through and come back. This draft is deleted once your order is complete, but it stays in your browser if you stop partway through. If you use a shared computer, please clear your browser's browsing data after use.

If you sign in as a member, information that keeps you signed in is stored in your browser for up to 30 days.

4. How to Request Deletion of Your Data

If you would like your personal information deleted, please ask us as follows.

  1. Send an email to support@hdtelecom.jp with the subject "Data deletion request" (we also accept requests by phone at 03-6789-8553; hours: 10:00–19:00 Japan time; closed Wednesdays and Sundays).
  2. In the message, give your registered email address, your order number and what you want deleted (for example your whole account, your order information, images of your identity documents (if you submitted any), and whether the change history should be included).
  3. To confirm that you are the person concerned, we may ask you to contact us from your registered email address or to confirm details of your order.
  4. In principle within 2 weeks of receiving your request, a member of staff will delete the relevant data from our database and file storage and let you know the result by email.

Even when you correct your registered details, the previous values remain in the change history so that we can check records internally. If you would also like this history deleted, please tell us when you make your request.

Transaction records that the law requires us to keep, and information needed for ongoing contracts or payments, cannot be deleted until their retention period ends. In that case, we will tell you why they cannot be deleted and how long they will be kept.
